1. Introduction

These Terms & Conditions govern the use of the Under Domes website and participation in any retreats, experiences, programs, events, or related services offered by Under Domes.

You agree not to:

interfere with website functionality,

or use the website for unlawful purposes.

We reserve the right to suspend or restrict access where misuse is suspected.

3. Retreat Information

Retreat descriptions, accommodations, schedules, facilitators, pricing, wellness activities, and program details are subject to change.

While we aim to keep information accurate and updated, we do not guarantee that all website content will always be complete, current, or error-free.

4. Inquiries and Waitlists

Submitting an inquiry, application, or joining a waitlist does not guarantee participation or create a confirmed booking. Bookings are only confirmed once: participation has been approved, payment obligations have been satisfied, and written confirmation has been issued by Under Domes.

5. Bookings and Payments

Payment terms, deposits, and pricing structures may vary depending on the retreat or experience. Unless otherwise stated in writing: deposits may be non-refundable, payment deadlines must be respected, and bookings may be cancelled if payments are not received on time. We reserve the right to refuse bookings at our discretion.

6. Guest Cancellations

Cancellation requests must be submitted in writing to welcome@underdomes.com.

Unless otherwise stated:

cancellations made at least 7 days before the retreat start date may qualify for a partial refund,
processing fees of up to 5% may be deducted from refundable amounts,
cancellations made within 7 days of the retreat start date may be non-refundable.

Refund processing timelines may vary depending on payment providers and financial institutions.

7. Organizer Changes and Force Majeure

Under Domes reserves the right to modify or cancel retreats where reasonably necessary. This may include changes due to: severe weather, natural disasters, illness, travel disruptions, government restrictions, safety concerns, pandemics, venue issues, or other events beyond our reasonable control.

Where a retreat is cancelled by us, guests may be offered: rescheduling, retreat credit, or a refund of amounts paid, excluding non-recoverable third-party costs where applicable.

8. Travel Responsibilities

Guests are responsible for: passports, visas, vaccinations, travel insurance, transportation, and compliance with entry requirements. Under Domes is not responsible for denied boarding, immigration issues, missed flights, or travel disruptions outside our control. We strongly recommend comprehensive travel and medical insurance.

9. Health and Wellness Disclaimer

Under Domes retreats may include physical, wellness, mindfulness, outdoor, or movement-based activities. Participation is voluntary and at your own risk. The information provided through our website, retreats, or facilitators is not medical advice and should not replace consultation with qualified healthcare professionals. Guests are responsible for determining whether participation is suitable for their personal physical and mental condition.

10. Guest Conduct

Guests are expected to behave respectfully toward staff, facilitators, venues, local communities, and other participants. We reserve the right to remove or refuse participation without refund where behavior is unsafe, unlawful, abusive, discriminatory, disruptive, or harmful to the retreat environment.

11. Third-Party Facilitators and Services

Some retreats or experiences may involve third-party facilitators, instructors, accommodations, transportation providers, or venues. Under Domes is not responsible for independent third-party actions, delays, interruptions, or operational changes outside our direct control.

12. Photography and Media

We may request permission to use retreat photography, video, testimonials, or guest feedback for marketing and promotional purposes. We will not knowingly use identifiable guest imagery without consent where legally required. Guests may notify us in writing if they prefer not to appear in retreat media.

13. Intellectual Property

All Under Domes branding, logos, website materials, images, text, graphics, and retreat content are owned by or licensed to Under Domes and protected under applicable intellectual property laws. No material may be copied, reproduced, distributed, or commercially used without prior written permission.

14. Third-Party Links

This website may contain links to third-party websites or services. Under Domes is not responsible for the content, policies, availability, or security practices of third-party websites.

15. Limitation of Liability

To the fullest extent permitted by law, Under Domes shall not be liable for indirect, incidental, special, or consequential damages arising from: participation in retreats, travel disruptions, cancellations, third-party services, wellness activities, or website use. Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.

16. Privacy

Your use of the website is also governed by our Privacy Policy. By using this website, you acknowledge that you have read and understood our Privacy Policy.

17. Governing Law

These Terms & Conditions are governed by the laws of Portugal. Nothing in these Terms limits any mandatory consumer rights available under applicable laws in your country of residence.
